Renewals reached proactively — with context from the prior year's service

Insurance agency, mid-size, large book of personal and commercial lines

The situation before

Renewal season required a significant portion of the account management team's time — contacting every client ahead of renewal to review coverage, flag changes, and retain the relationship. The volume was high enough that some clients were getting a generic renewal notice email rather than a personal conversation, which was increasing non-renewal rates at the margins.

What was built

An agent that monitors policy renewal dates and triggers a personalised outreach sequence 60 days out. For each client, it retrieves the prior year's coverage summary, any noted changes or claims activity, and any life events flagged in the CRM (new vehicle, property change, business expansion). It drafts a personalised pre-renewal message that frames the conversation in the client's specific context — not a generic renewal reminder. It also identifies clients whose circumstances suggest they may need a coverage review and flags those for priority account manager follow-up.

What changed

Account manager preparation time per renewal decreased. Clients who received personalised pre-renewal contact renewed at a higher rate than those who received generic reminders. [Specific retention rate improvement — metric TBD]
