The situation before

What was built

An agent connected to the referral intake channel that immediately responds to new referral submissions with a personalised message and a short qualification sequence. It collects the relevant clinical history questions (those that don't require professional judgement), confirms insurance compatibility, and assesses scheduling preference. Qualified leads are pushed to the CRM with full notes and a recommended next step; low-fit leads are handled with an appropriate response without consuming staff time.
